About Spotdit

What is Spotdit?

Spotdit is an AI-powered capture and handoff tool for work that happens in the real world.

Take photos or videos, add a quick voice note, and Spotdit helps turn what you captured into something useful — such as an issue, site observation, inspection note, follow-up, or report.

Instead of spending time writing everything up after a walkthrough, you can capture it while you are there and let AI organize the details.

How is Spotdit different from inspection or site audit apps?

Traditional inspection apps are usually built around forms, checklists, templates, and predefined workflows.

Spotdit starts with what you actually see.

You capture photos, video, voice, or notes, and AI helps interpret and organize them into structured work.

That makes Spotdit useful not only for formal inspections, but also for everyday walkthroughs, property checks, maintenance observations, snagging, contractor follow-ups, safety observations, and other work that does not always fit neatly into a predefined form.

How is Spotdit different from task management apps?

Task management apps usually expect you to create and organize the task yourself.

Spotdit focuses on the step before that: capturing what happened and turning it into a clear handoff.

Instead of stopping during a walkthrough to type a title, description, location, priority, and other details, you can simply capture what you see and explain it naturally.

Spotdit helps do the administrative work for you.

Is Spotdit a project management system?

No.

Spotdit is intentionally lighter than a traditional project management platform.

It is designed around a simple workflow:

Capture → Understand → Share → Follow up

You can use Spotdit alongside the project management, maintenance, property management, or communication tools your team already uses.

Capture & AI

What can I capture with Spotdit?

You can capture information using photos, videos, voice, text, and supporting files.

This makes it easy to document work while walking a site instead of stopping to fill out forms.

What does the AI actually do?

Spotdit AI helps turn raw captures into useful work.

Depending on what you capture, it can help identify important details, summarize observations, draft descriptions, organize related information, suggest follow-ups, and prepare structured handoffs or reports.

Think of it as an assistant that helps with the paperwork after you capture what matters.

Does AI make decisions for me?

No.

AI helps prepare and organize the information, but you remain in control.

You can review and edit AI-generated content before sharing it, and important actions can remain subject to your confirmation.

Can I use Spotdit for a full site walkthrough?

Yes.

For example, you might walk a floor and capture 18 photos while talking naturally about what you see.

Spotdit can help turn those captures into an organized audit or walkthrough report, highlighting items that look fine and items that may need attention.

You do not need to create every observation manually while walking the site.

Do I need to create templates before I start?

Not necessarily.

One of the main ideas behind Spotdit is that you should be able to start by simply capturing what you see.

Templates and structured workflows can still be useful for repeatable processes, but they should not get in the way of quick capture.

Sharing & Contractors

Can I share an issue with a contractor?

Yes.

You can share individual Spotdit posts with contractors, vendors, clients, or other external people without giving them access to your entire workspace.

This is useful when someone only needs to see and respond to the work relevant to them.

Does my contractor need to become a member of my workspace?

No.

External people can use an External Portal rather than becoming full workspace members.

You decide which posts they can access and what they are allowed to do.

What can an external contractor do?

When sharing a post, you can control the permissions available to the external person.

For example, you may allow them to:

  • View the shared issue and its attachments
  • Add comments or updates
  • Upload photos or supporting files

They only see the information you explicitly share with them.

Can contractors update me after the work is completed?

Yes.

A contractor can use the shared post to respond with comments, photos, or other permitted updates.

This keeps the original observation and the follow-up conversation together instead of scattering information across email, messaging apps, and camera rolls.

Can I share something without exposing the rest of my project?

Yes.

Spotdit is designed around controlled sharing.

External users receive access to the specific information you choose to share — not your entire workspace, project history, or internal discussions.

Can I revoke external access?

Yes.

Workspace administrators can manage external people and their access. If someone should no longer have access, their account or access to shared content can be disabled or removed.

Voice Capture

Can I use voice instead of typing?

Yes.

Spotdit is designed for situations where stopping to type is inconvenient.

You can take a photo or video and simply describe what you see by voice. Spotdit can turn your spoken notes into clear, structured information, so you can keep moving instead of filling out forms on site.

Do I need to type a description for every issue?

No.

You can speak naturally while capturing what you see.

For example:

“Water is leaking from the pipe above the ceiling. It looks recent and the floor underneath is already wet.”

Spotdit can use that voice input together with your photos or video to help create a clear issue description and handoff.

Can I capture multiple observations while walking around?

Yes.

Spotdit is designed for walkthrough-style capture.

You can keep taking photos, recording video, and adding short voice notes as you move through a site. AI can then help organize those captures into individual observations, follow-ups, or a structured report.

Why use voice instead of forms?

Forms are useful when the information is predictable.

But real-world work is often not predictable.

Voice lets you explain what you see immediately, in your own words, without stopping to choose fields, type descriptions, or navigate through multiple screens.

Spotdit uses AI to turn that natural input into something more structured afterwards.

Does Spotdit transcribe my voice notes?

Yes.

Voice input can be converted into text and used as context for AI-generated descriptions, summaries, issues, and reports.

You can review and edit the result before sharing it.

Working With Your Team

Can multiple people use the same Spotdit workspace?

Yes.

Teams can use a shared workspace to capture observations, discuss work, and keep important context together.

Workspace permissions determine what each member can do.

Can we discuss an issue inside Spotdit?

Yes.

Each post can become an ongoing thread.

Instead of treating every observation as a rigid ticket moving through predefined statuses, your team can continue adding comments, photos, files, and updates as the situation develops.

Does every issue need a status such as Open, In Progress, and Closed?

No.

Spotdit is designed to avoid forcing every situation into a complicated workflow.

A post can simply remain an ongoing conversation until the work is finished. When appropriate, it can be manually closed, or Spotdit AI may suggest that an issue appears to be resolved for you to confirm.

Can Spotdit remind me about things that have not been resolved?

Yes.

Spotdit can help create reminders and follow-ups so important observations do not disappear after they are captured.

AI can also help identify situations that may need another check or follow-up.

Reports

Can Spotdit create reports?

Yes.

Your captures and observations can be turned into structured reports, making it much easier to document walkthroughs, inspections, audits, maintenance checks, and other field work.

Can I include photos in reports?

Yes.

Photos and other supporting evidence can remain connected to the observations they belong to, so reports provide both context and visual evidence.

Can I export my information?

Spotdit is designed to make captured work useful outside the app as well. Depending on your plan and available features, reports and workspace information can be exported or shared with the people who need them.

Use Cases

Is Spotdit only for construction?

No.

Spotdit is designed as a flexible capture and handoff platform rather than a construction-only product.

It can be useful for:

  • Construction and site walkthroughs
  • Property and facility management
  • Maintenance inspections
  • Safety observations
  • Quality checks
  • Property condition reports
  • Contractor coordination
  • Cleaning and turnover inspections
  • Equipment observations
  • General field operations

If your work involves seeing something, documenting it, handing it to someone, and following up, Spotdit can probably help.

Can I use Spotdit for property management?

Yes.

For example, a property manager can photograph damage during an inspection, describe it by voice, let Spotdit prepare the issue, and then share it directly with the appropriate contractor.

The contractor can respond with updates and completion photos without needing access to the rest of the property workspace.

Can I use Spotdit for small jobs, not just large projects?

Absolutely.

Spotdit is designed to be useful even when you do not need a full project management system.

You might use it for a single property inspection, a maintenance walkthrough, a contractor punch list, or simply to document something that needs attention.

Getting Started

Do I need special hardware?

No.

Spotdit is designed around the device you already carry.

For most workflows, your phone is all you need to capture photos, video, voice, and notes.

Do I need to train my team before using Spotdit?

Spotdit is designed to minimize training.

If someone knows how to take a photo, record a voice note, and send a message, they should already understand most of the core interaction.

AI handles much of the structuring work that normally requires users to learn complicated forms and workflows.

Can I try Spotdit before paying?

Yes.

Spotdit offers a free way to get started so you can experience the capture-to-handoff workflow before deciding whether you need additional capabilities.

Still have questions?

Spotdit is built around a simple idea:

Capture what you see. Say what matters. Let AI handle the handoff.
